1.Fixed: Original statements from the $ screen were not always picking up the correct customer when Emailing the statement.

2.New: Rentals for storage or mooring

 

This option can only be available from the Point of Sale screen. Once the rentals are setup, they are self-scheduling after each transaction. They by design can show you how much you will be making at any given time on rentals/storage/mooring/subscriptions. We use it here at VMT software and have tested it and improved it for 2 months prior to its release. It is designed to be flexible so you can add locations, add items to those rentals so you know what is being stored where. Or you can just rent out spaces without knowing what is in them. You can also add more than one item so you can have multiple items that are rented each time. You can pro-rate to a particular date when you first start a rental so you can process all rentals on a certain date. Or you can just go in and process rentals each day as needed. The program knows what needs to be processed each day. You can also charge a one time deposit that will be applied when they cancel. You can process their payments as you go, or set your credit card processor to automatically bill them, then you just process those items as they come in. (this is how we do it, not a lot of work).  As we go, we expect to have our customers give us some feedback so we can improve it. If you're on a subscription, you'll need the Point of Sale ($29.95) and the rental option($20) per month in addition to Digital Wrench of course). We will try and get some video's out ASAP.

2.Added: The rental package file.

3.Changed: the salesfile for the Point of Sale screen.

4.Added: Rental Screen (optional) to the Point of Sale screen. This allows you to setup recurring monthly rentals to be processed.

5.Added: External ID to customer records. This is a unique id that is up to 30 characters and can be used for rentals or recurring charges from the paypal Email for your customer, or a unique ID that your credit card company assigns to your customers CC account. Or, use it for something else.

6.Added: Templates to help you build your rental records. Let's say you have 10 or more rentals and they're pretty much all the same, you can build a template, then use that template to copy into the rental record. Once in the rental record, you can modify it to meet specific needs.

7. Added: Help for rentals and how to use them.

8.Added: You can right click on the paste button to auto lookup by external customer ID. External customer ID's are for grabbing or copying an ID from maybe a credit card provider that is auto billing your customers. Most of the time they have their own internal unique customer ID. Paypal for instance may have a different Email address for billing than what you have on file for your customers Email. While it was designed for recurring billing, you could use it for other purposes as well. It's basically a secondary customer ID, but not required.

9.Added: A rental file browse (press escape from the POS screen and click on Edit/All Rentals. With this browse you can see all upcoming rentals and filter by date or rental (inventory) ID#, or one rental unit. You can also see what your upcoming totals will be (assuming everyone pays). There is also a sendTo button so you can make a report. Remember to use the List Format manager (by right clicking on the browse) so you can customize your report. Of course with SendTo you can send the data to a spreadsheet or elsewhere. There is also a query button so you can query the list for any data. Or you can filter by a Date Range for Billing Date, Processing Date, or Processed Date.

10. Added: on the main POS screen before you select a customer, there is a browse at the top (If rentals are turned on). This lets you compile a list of rentals you need to process either for Today, Today and before, or All. Once the list is there, you can select one by double clicking on it to see what needs to be processed. You can also filter by User, Payment Type, or status.  This is great if you've processed a bunch of rentals, you can recompile the list to see if you got them all done.

11. Added: Tabs and Keys to lookup customers by Email, Phone, and External customer ID. The phone number tab is by cell phone, but the lookup phone looks at all 3 phone numbers.

12. Added: A return for rentals. This will pro-rate the rental if that option is on in the rental. When you process it on the POS screen, if it is zero or negative, it will automatically create a zero or negative invoice. If there was a deposit, it will return the deposit and apply it automatically to the invoice it is creating. It will also delete the item from the rental screen. It also stores any memo's you made in the rental item into the notes in the invoice.

13. Added: A note to the rental. This is for any notes about this rental until it is processed, then it is erased. But, the note is stored in the Invoice under the Notes (which usually don't print). This is for tracking when a credit card is denied, excuses for late payment, etc. It's stored in private notes in the invoice so it should be private to your company. Some people have created invoices that prints the notes (the invoice memo always prints). If your invoice prints the notes, be careful what you put in here.

14. Added: Just highlight the rental record and a tool-tip will display showing the Status and the memo if there is one.

15. Added: Help for the Rental Screens.

 

3.Changed: Phone number search for customers now searches Home Phone, Work Phone, and Cell phone instantly. You can use any format and it removes everything but the numbers so it can search correctly.  You can also type in the just 7 digits and it will use the area code you have setup in company setup for your phone number.  It tells you where it found the phone number and selects the customer for you.

4. Fixed: The new statement printouts that use the report manager (so you can modify them), did not have an Email option. We've added that so you can use our standard Email function, but it is designed for billing statements. Of course you should only use the email from the $ screen where only one customer is selected. It is not possible (yet) to email multiple statements to multiple customers automatically. This is for emailing one statement to one customer. Again, this is from the $ screen. Currently there are statements that has the filter to just print for the one customer, and that is statement 10 and 11. This is set at the top of the $ screen. You can only set the statements from 0, and 10 to 19. That way you can modify and add up to 8 more statement printouts, 12-19. But if it's not there, it will get an error. 0 is the built-in statement that cannot be modified.

5. Changed: Billing statements. There are 2 built-in statements, 1 and 2. The modifiable statements are 20-21. You can create your own, (or we could build them), allowing statements 22-29. Billing statements print statements for all customers. You cannot email them because it will create just one PDF file. But we're working on a solution to that issue.

6. Added: A marker so that any RO/Invoice created by the POS has that marker. There is now a filter in the All RO list (Single Wrench Icon from the main screen) so you can see only the ROs not made by the POS, or all the ROs made by the POS. This is not retroactive of course. The marker is in the fields wo:madeBy and has a 'P' in it (for Point of Sale). This info is provided so you can filter your queries. All RO's not made by the POS are blank at this time.

7. Changed: The Date Range Picker screen had the dates in Overwrite mode, changed them to Insert mode to make modifying dates a little easier if you're just typing the changes.

8. In company setup under Each Computer, there is no longer an 'Assume Internet is on'. The program can now check for the internet automatically. This means if you're out in the field and don't have internet, it will simply not check for an update code. Also, when hooked up and starting the program, it will automatically check for the code.

 

 

File Changes:

1.Main repair order file WO (added wo:Sec_Deposit to use for security deposits) (added: wo:madeby to track where the Invoice was originated, it will have a P if it came from the Point of Sale))

2.File for Point of Sale: Salesfile (added:renRefID so it can reference the rental record and update or delete it if necessary) (added: Location)

3.New Files for rentals: Rentals for the actual Rental Records, RentProcess (you can compile rentals to see what needs to be processed), RentPack (A template so you can make rentals much faster), RentPName (Just a list of rental packages or templates).
